Understanding Microsoft's licenses, Pricing and Commitment Terms
With many IT Works customers reaching their first NCE ‘annual anniversary’ or ‘renewal’, we want to help you understand your options and address some common scenarios.
How to Identify Subscription Terms
There’s no direct link between a subscription’s term (annual or monthly) and specific users. All subscriptions are pooled, and Microsoft views licenses and users as separate entities. Each user gets the same features based on their license type, regardless of the term.
Any Microsoft NCE (“New Commerce Experience”) licenses on your account will appear on your next invoice with the commitment term identified as per the samples below:
- (NCE COM ANN) – Annual Commitment, Annual Billed
- (NCE COM MON) – Annual Commitment, Monthly Billed
- (NCE) Monthly – Open Term, Monthly Billed
Monthly commitment
If your user numbers vary significantly throughout the year, you may prefer monthly commitment licenses, which allows adjusting of license quantities freely throughout the year.
This is our most popular choice to allow full flexibility of your Microsoft licensing.
Annual commitment
For customers with stable levels of users throughout the year, we recommend choosing a 1-Year commitment term which allows you to receive a discount of up to 20% on the standard monthly pricing.
Note: Changing annual subscriptions to monthly or reducing the quantity is only possible at the renewal date of the applicable license.
Mixed commitments
For larger companies with licensed user counts exceeding 50 and frequent changes in staff numbers, we can lock in a fixed number of annual commitment licenses and then apply month-to-month for the remainder.
This allows you to receive a discounted rate for the majority of your Microsoft licensing, but allows for flexibility of staffing changes
What Happens When a User Is Removed?
The license goes back into the pool of available licenses.
- Annual subscriptions cannot be canceled until their renewal date. IT Works will review these licenses before the anniversary.
- Monthly subscriptions can be canceled anytime. Just let IT Works know to make these changes.
Upgrading Subscriptions
- Upgrades to plans with more features can be done at any time, regardless of the subscription term.
- The renewal date stays the same, and IT Works will adjust the billing accordingly. Contact us to explore upgrade options.
Downgrading Subscriptions
- Monthly subscriptions can be downgraded anytime
- Annual subscriptions can only be downgraded at the renewal date.
