3CX managed voice solutions

Business voice that does more than make and receive calls

Your phone system is often the first real interaction a client has with your organisation. It should route calls clearly, support your team, provide useful visibility and adapt as the way you work changes.

IT Works designs, configures and supports 3CX managed voice solutions for organisations that want modern calling, practical call routing and better insight into customer conversations.

With the right setup, 3CX can support your team with flexible calling, smarter call flows, voicemail, reporting and AI-enabled features such as transcription, summaries and call analysis.

Why it matters

Your phone system is part of the customer experience

Many organisations only think about voice when something goes wrong.

Calls go to the wrong place. Voicemail is hard to manage. Call flows are unclear. Reporting is limited. Staff rely on manual notes. Managers cannot easily understand call patterns or service demand.

A modern managed voice solution should do more than connect calls. It should help your organisation respond well, understand what is happening and improve the way calls are handled over time.

Our approach

Managed voice designed around how your organisation works

IT Works does not treat 3CX as a one-size-fits-all phone system.

We design the voice environment around your people, locations, call flows, opening hours, teams and service expectations. That includes how calls enter the organisation, where they should go, what happens when someone is unavailable, and what information managers need to improve service delivery.

Our role is to make the phone system practical, supportable and aligned with the way your organisation actually operates, as part of your wider technology environment.

01

Understand the call flow

We map how calls come in, where they should go, who answers them and what happens when people are unavailable.

02

Build the platform

We configure the 3CX environment, users, extensions, teams, permissions, IVR menus, routing rules and number setup.

03

Prepare the tools

We configure desk phones, softphones and supporting devices where required, including firmware and platform readiness.

04

Test the experience

We test call routing, voicemail, queues, IVR options, extensions and user access before handover.

05

Support and improve

We maintain the platform, support users and help refine the system as call patterns and organisational needs change.

AI-enabled voice

Turning calls into useful business insight

Voice conversations contain valuable information, but that information is often lost once the call ends.

With the right 3CX configuration, organisations can use AI-enabled features such as transcription, call summaries, sentiment analysis and call analytics to better understand what is happening across customer conversations. This can help teams review calls faster, identify recurring themes, improve follow-up and give managers better visibility across service demand.

AI should make the phone system more useful, not more frustrating. Our focus is to keep call handling simple, practical and human, while using AI where it genuinely improves service delivery. If you’re exploring AI more broadly, our AI and Copilot enablement work follows the same principle.

What you get

A managed voice service with ownership behind it

Clearer call routing

Calls are directed based on how your organisation works, not generic phone system defaults.

Better user experience

Staff can use the right mix of desk phones, softphones and mobile options.

Practical administration

Users, roles, numbers, voicemail, call flows and permissions are managed properly.

AI where it adds value

Transcription, summaries, reporting and AI reception can be introduced where they support better service.

Ongoing support

Your voice system is supported as part of your wider technology environment, not treated as a standalone product.

Why it stacks up

The case for modern managed voice

Four things organisations usually want to understand before changing their phone system. Choose the one that matters most to you.

Per call, not per user
How licensing works

3CX licenses on the number of simultaneous calls your organisation makes, not the number of staff. Most teams are never all on the phone at once, so you are not paying for seats that sit idle.

It also means adding people does not automatically add licence cost, which matters when you are growing or running seasonal peaks.

Where the savings usually come from

  • One annual system licence rather than monthly per-user fees
  • Video meetings, live chat and messaging included rather than bought as add-ons
  • Freedom to choose your own SIP trunk provider and keep your numbers
  • No multi-year lock-in contracts with legacy providers
  • Less time lost to admin, because changes are quick to make

Actual savings depend on your current contracts, call volumes and number of users. We will look at your real numbers rather than quote a headline figure.

You own the system. We do the work.

A phone system is easy to buy and easy to neglect. Call flows drift out of date, staff changes are not reflected, firmware falls behind, and nobody quite owns it.

As your IT partner, we treat voice as part of your wider environment rather than a separate product. The same team that knows your network, your Microsoft 365 tenancy and your security posture also looks after your calls.

What that looks like day to day

  • Changes to extensions, queues and call flows handled by request
  • Updates and firmware kept current, including your handsets
  • One place to raise an issue, whether it is the phone, the network or the internet line
  • Onboarding and offboarding staff as part of your normal IT process
  • Regular reviews so the system keeps matching how you actually work

Calls keep working when the office does not

Because 3CX is software rather than a box in a cupboard, your phone system is not tied to your building. Staff can take calls on a desk phone, a laptop or a mobile app using the same extension and the same number.

If your office is unreachable, whether that is weather, a power cut or a building issue, calls can keep flowing to people wherever they are.

Practical resilience

  • Desk phone, web browser and mobile app all on one extension
  • Hosted or on-premise deployment, chosen to suit your risk profile
  • Call routing that can be changed quickly when circumstances change
  • Out-of-hours and overflow rules so calls are never simply dropped
  • Automatic backup and failover options as part of the platform

Aotearoa knows this one well. A phone system that assumes everyone is at a desk is a phone system that stops working on the day you need it most.

A+ SSL Labs rating
Encryption by default

3CX enforces TLS 1.2 and strong ciphers by default, with voice traffic encrypted using SRTP and mobile apps tunnelling through an encrypted connection.

Every release is penetration tested and checked for vulnerabilities, with major releases externally tested by Mandiant.

Why voice belongs in your security conversation

Phone systems are a genuine target. An unsecured PBX can be used for toll fraud, and call recordings and voicemail often contain exactly the information an attacker wants.

  • Encrypted signalling and audio, configured properly rather than left at defaults
  • Access to the management console restricted and monitored
  • Recording and transcription handled with your privacy obligations in mind
  • Global IP blacklisting and automatic certificate management
  • Voice treated as part of your security posture, not a separate island
